New AI Governance module helps organizations document, approve, and monitor AI systems through centralized workflows and audit-ready governance

The solution supports organizations in preparing for AI Act requirements and related AI governance processes by helping them identify, classify, document, approve, and monitor AI systems in a centralized and auditable way.

With the EU AI Act introducing a risk-based framework for AI systems, organizations need structured processes to maintain AI system inventories, determine risk classifications, assign responsibilities, collect technical documentation, and monitor AI-related risks over time. These processes are also becoming part of broader AI governance as organizations seek to manage AI use consistently across business functions, entities, and regulatory contexts.

In practice, many AI use cases are still managed through spreadsheets, email approvals, and decentralized systems. This can make it difficult to maintain a reliable overview of AI systems, ensure consistent classification, assign clear ownership, and provide evidence for internal reviews, audits, or regulatory inquiries.

The EQS AI Governance module addresses these challenges by providing a structured framework for AI governance. It supports AI Act readiness and helps organizations establish repeatable governance processes for AI systems more broadly. AI systems can be captured in a central register, assessed using guided classification workflows, routed through review and approval processes, linked to risks and controls, and documented throughout their lifecycle. By connecting AI governance with existing data protection and risk processes, the module helps organizations build on established governance structures rather than starting from scratch.

Classify AI use cases consistently: Use guided assessments and preconfigured questionnaires to identify AI systems, determine the organization’s role, evaluate AI-related risks, and assign the appropriate risk category.
Guide AI systems through review and approval: Route AI use cases through structured validation workflows, involve relevant stakeholders, capture comments and decisions, and document sign-off before deployment.
Maintain technical and compliance documentation: Collect and manage the technical, organizational, and compliance documentation required to support internal reviews, external audits, AI Act readiness, and related governance processes.
Map AI risks to controls and mitigation actions: Connect AI systems to risk frameworks, assign controls and owners, and monitor mitigation activities across the AI lifecycle.
Support ongoing governance beyond initial approval: Set review cycles, maintain documentation history, and preserve a clear audit trail of assessments, approvals, and governance decisions.

The AI Governance module will be available as a standalone solution or as part of the EQS Privacy Cockpit, which brings together data privacy, AI governance, and digital risk processes in one platform. This allows organizations to connect AI systems with records of processing activities, data protection impact assessments, risk management processes, workflows, approvals, and audit trails already managed within Privacy Cockpit.
